I think we'll have to alter the time frame for next month's tourny after all the complications this model brought, though obviously nothing is decided yet there are clear issues with this scheduling model and its complete lack of rigidity.

I tend to agree with this. I thought with this being a monthly tournament it's supposed to be a somewhat casual fun event for the weekend, not one dragged out for weeks. I mean this to be constructive, so that we can make each event a success. The first thing I would say is have a firm date each month prior to signups. Because everyone has crazy schedules and lives and what not, having a set date to either say yes I can attend or no I can't seems like it would be beneficial. Once teams are constructed, give deadlines for teams to complete matches/or schedule match start times specifically. If team #6 is waiting for the winner of teams #3 and #4, there should at least be an idea on when these teams would be finished at the latest. There should be some discussion to be had about whether or not a member of a team can't make it. I don't see as this event being one that should have strict disqualifications, and there are always extra people on. If there is a stand-in available I don't see why they wouldn't be able to play. Because teams are created around MMRs that stand-in should have around the same MMR as the missing person, or could be agreed upon by both teams if it's ok. I'm not trying to say that there needs to be super serious rules, but an actual schedule would be nice. Life happens and we can all understand that. I was excited for this event and actually turned down opportunities to do other things this weekend. It just ended up me playing some in-houses or pubs with guildies (which was fun), but no one seemed to hear anything about what was going on. Just my thoughts... wanted to throw it out there for discussion.

It was really fun getting invites from Denomolos and Ky2010 to play inhouses and 5 stacks in game. "What a wonderful community we have here" I thought. Then through mumble chat it seemed apparent that I was missing something... I returned to this page to find, to my surprise, that I had been put into a team. Now I was really keen for the January tourney, but I knew I couldn't make the 25th and 26th weekend. When it was announced that the 25/26th weekend was selected, I was bummed for a moment, but moved on. However, the fact that I was still put in a team despite the fact that I indicated I couldn't play the designated weekend, via the signup process, is really baffling to me.
I assumed that I wouldn't be able to play, so I didn't bother checking the boards for team rosters. I loved playing with the people above, but it isn't fair for them to suddenly hear that their team member can't make the tournament at the last minute. Sure I could've checked the boards a bit more, but why would I have needed to. My captain was very reassuring saying, "Schedules haven't been confirmed yet, so you can play the next weekend!" but I hadn't signed up for a February tournament. I wasn't free for a february tournament of any sort, so it really isn't fair for my team to have to rebuild like that.
For someone new to the DotP guild, I did feel a sense to prove myself to the people I played with. Having to let down my team like this isn't a very nice way to start my time here. I heard about the tournament through the podcast, and that was the tipping point that pushed me to finally join the guild. If you're getting new people through events like this, then maybe it's a good idea to be a bit more professional about them.
tl;dr if you ask for date suggestions, and find the best date, then set it. Plan/organise around it, and please don't roster people who said they couldn't make it.

And I hear what people are saying now about setting a day in stone. When I talked about just setting one day to do the games, I got a ton of complaints(not naming anyone) saying "oh I can't make it; or; I don't wanna put some block in my schedule ; or; I'm not a pro I can't set a weekend date for dota, I don't have time to accommodate a tourney schedule" Most people suggested we make it a big event that had a casual schedule stretched out over a period of time. I can't please every person. I suggest people in the guild discuss among themselves how you'd like the tourney to be run, and then tell me and I'll set that up. If you guys wanna set up one specific day with limited attendance, go ahead and choose that option. I don't want to be put in the position where I have to make a decision that works for some and doesn't work for others.

Setting a 2 or 3 day window for teams to get a match in should be enough especially if the days are set before sign up. Team captains can be responsible for arranging a time. If teams can't do that then you can just forfeit and move on. I get that you're dealing with the blowback, so move that onto the teams I guess.
I also think maybe just 4 teams single BO3 eliminations might be better as it can be done pretty quickly.
